This Privacy Policy identifies and describes the way Cloud 9
Specialty Car Rentals Inc. (herein Cloud 9) collects, uses and
stores information we collect from our customers. At Cloud 9,
we take privacy very seriously and make every effort to keep
your personal information confidential at all times.
HOW WE COLLECT INFORMATION
Any information Cloud 9 collects will include information
provided directly to us from the customer by means of phone
call or email. Using the customer’s information as described
below, Information about the customer will also be collected
and gathered from other sources. Our information gathering
process is limited only to that information that is necessary
for a customer to qualify for a rental. Every customer
provides Cloud 9 with the same personal information as any
other customer, no more or less. Required information from a
customer is determined by Cloud 9 and our fleet insurance
company. Customers may email us for a complete list of
questions that are asked. At no time will Cloud 9 incorporate
“cookies” onto your computer or gather any other type of
personal or non-personal information about you in any other
way while interacting on our website(s) or by other
means. Cloud 9 will store your email address if you have:
rented a vehicle from us, inquired about our consulting
program or have asked us to be placed onto our email list to
receive specials. We do not keep emails from those who are
just inquiring about a rental.
HOW WE USE YOUR INFORMATION
Once a customer has provided Cloud 9 with their information,
the information will then be used to verify the customer’s
identity. This information will also be used to verify that
the customer meets all of our rental requirements. This
process includes, but is not limited to:

Using the customer’s driver’s license number to run a
Department of Motor Vehicle (DMV) report. This report
provides us with your driving and criminal history
including: convictions (IE, DUI), tickets and restrictions.

Using the customer’s personal car insurance policy
information to contact their car insurance company to
receive feedback from their agent as to the customer’s
driving record, insurance coverage(s), accident information
as well as their current vehicle information. In almost all
cases, Cloud 9 will receive faxed policy information about a
customer from the customer’s insurance company.

Using public information found on the internet to verify a
customer’s identity.

Asking the customer, in some cases, to first call their car
insurance company and grant and/or release their insurance
information to Cloud 9.
At
no time will Cloud 9 sell, rent or give away any customer
information, including emails, to any another party. Cloud 9
will also make every effort to protect a customer’s privacy
before, during and after a rental. We will not provide your
name to any other party, including family members, who may
inquiry about your past, present or future rental with us.
Only those person(s) that the customer instructs us to
potentially contact in an emergency situation will be
notified. Any violation of our rental contract will negate a
customer’s anonymity.
HOW WE STORE INFORMATION
Information collected from customers by Cloud 9 will be stored
in hand written form and kept on file for the duration of
their rental. All information, including information provided
by the customer, faxes, rental paperwork, 2nd party
information and credit card receipts will then be stored at a
secure location and kept until IRS law determines the forms
are no longer useful. At that time, they will be destroyed.
Prior to all rentals, Cloud 9 will take a digital copy of your
driver’s License and proof of insurance card. These images
will be kept in digital storage until your rental is completed
or for up to a period of one year or as determined by
insurance requirements. After that period, they will be
destroyed. At no time will Cloud 9 keep, place, hold or store
any of your information, with the exception of your email
address, within a computer system. We feel any personal
information, either inputted from a web site reservation form
or stored anyway on a computer system, is information at risk.
A computer’s known location within a business can be stolen or
hacked into from another computer over a given period of
time. Cloud 9’s website(s) do not contain a database with any
customer information on it due to this threat alone. Cloud 9
recommends that you NEVER put any personal information, such
as your social security number or credit card
information, into any company’s on-line reservation system
unless they are a Fortune 500 company using ADVANCED
encryption software.
Any updates or changes to this policy will be reflected
here. Cloud 9 does not inform nor notify their customers or
potential customers of changes to this policy. Please review
our privacy policy from time to time or just prior to your
